This is a new position and role for us. We are a growing company and as our CEO wants to focus as much time as possible on the tasks that help us to grow and scale, it makes sense now for us to hire an assistant for him to help maximize his time spent on those high-level tasks.

Job Description

As an Executive Assistant, you will play a crucial role in freeing up time for our CEO. You will help with many tasks and will need to have reasonable skills in Excel, Word, PowerPoint and Outlook.

This pivotal role requires a detail-oriented individual who can manage a variety of administrative tasks while maintaining professionalism and confidentiality. The ideal candidate will possess exceptional communication skills, strong computer literacy, and the ability to handle multiple priorities effectively.

Key Responsibilities:

Please note that this job description many duties. More may be added as the need arises, but the goal is to help our CEO use his time as efficiently and effectively as possible by keeping him away from tasks that could be executed just as well by someone else in the organization. We are looking for someone who will always be looking for more tasks to take from the CEO. If anything that comes up requires training, we will gladly document a procedure for that task to help you consistently execute.

Don't let the comprehensiveness of the list be overwhelming. We anticipate hiring a person without a tremendous amount of experience and training them to do one task at a time.

It is important also to understand that you will become privy to knowledge of the CEO and his family’s personal matters and strict confidence is crucial.

The duties required in this role include, but are not limited to the following:

  • Scheduling meetings with the CEO and other employees, vendors, customers and prospects.
  • Managing the CEO’s calendar in Outlook insuring there are no timing conflicts and that he is on time and prepared for meetings.
  • Light research assembling data on vendors, clients, prospects, expenses or other items as needed.
  • Making coffee, ordering/picking up lunches, etc.
  • Personal errands such as vehicle oil changes/inspections and dry cleaning runs.
  • Picking up mail, dropping off packages for shipping
  • Eventually managing the CEO’s Outlook inbox and handling routine emails.
  • Assembling Power Point presentations with guidance
  • Some work in Excel
  • Attend marketing/networking events with CEO
  • Other tasks as-needed.

Qualifications:

  • Strong attention to detail and accuracy.
  • Professional appearance
  • Proficient using the Windows Operating System
  • Some experience with Word, Excel, Outlook and PowerPoint
  • Excellent communication skills for client interactions.
  • Ability to work independently and meet deadlines.
